How to Prepare Your Office & Team for a Commercial Photo Shoot

A commercial photo shoot is one of the easiest ways to refresh your website, social media, and marketing materials, but a little preparation can make a huge difference in the final images. The good news? You don’t need a picture-perfect office or a team of professional models to get great results. With a few simple steps, your business can look polished, authentic, and inviting. As a photographer serving Raleigh professionals for over 20 years, here are my biggest tips before photo day:

1. Start with a Shot List

Before the camera comes out, think about where and how your images will be used. Consider making a list that includes:

  • Team & Group headshots
  • Staff working together
  • Employees meeting with “clients”
  • Reception or waiting area
  • Office details and branding
  • Product or service photos
  • Candid collaboration
  • Social media images (vertical and horizontal)
  • Website banner images with room for text (Ask your web designer for any specific dimensions)

Having a shot list helps ensure nothing important gets missed and keeps the day running efficiently.


2. Declutter Every Space

The camera notices everything. What looks very normal to the eye can be distracting in photos. Take a few minutes to remove:

  • Loose papers
  • Water bottles and coffee cups
  • Visible cords
  • Personal items & photos
  • Boxes and shipping supplies
  • Cleaning supplies
  • Trash cans
  • Sticky notes on monitors

You don’t need to remove every sign that people work there, just eliminate distractions. Doing this ahead of time will help keep your photoshoot moving along quickly.


3. Freshen Up the Office

Most businesses want to present a warm and inviting space to their clients. If possible, consider adding:

  • Healthy green plants
  • Fresh flowers in reception
  • Decorative books
  • Branded mugs or notebooks
  • Clean throw pillows in meeting spaces
  • Simple artwork vs. bare walls

These touches help your office feel warm and welcoming without looking staged.


4. Schedule Friends or Employees to Act as Clients

Some of the strongest branding images show real interactions. This gives you more variety than smiling-at-the-camera photos, and can help clients envision working with your team. If your business doesn’t have clients coming through the office during the shoot, ask a few friends or employees to play the role. If utilizing the same people in multiple photos, have them bring outfit changes. Sample images could be:

  • Greeting a client
  • Handshakes
  • Reviewing paperwork
  • Meeting around a conference table
  • Demonstrating your services
  • Casual conversations
  • Walking through the office together
  • Performing treatments

These authentic moments often become the most useful marketing photos.


5. Coordinate Clothing

Your team doesn’t need matching outfits, but they should look like they belong together. In short, have your team wear:

  • Solid colors
  • Business or business casual attire
  • Clean, wrinkle-free clothing
  • Simple accessories
  • Neutral or company-brand colors when possible

Avoid busy patterns, large logos (unless they’re your company logo), and neon colors that distract from faces. This page goes into great detail about planning your team outfits.


6. Prepare Workstations

If employees will be photographed at their desks, spend a few minutes cleaning them up. Close unnecessary browser tabs, remove confidential information from screens and paperwork, organize cables, and clear away anything that doesn’t need to be visible. A tidy workspace helps your business look organized and professional.


7. Think About Your Brand Colors

Walk through your office with fresh eyes. Could your company colors be incorporated naturally? This might include:

  • Branded notebooks
  • Company signage
  • Accent pillows
  • Coffee mugs
  • Marketing materials
  • Artwork

These subtle details help reinforce your brand throughout your image library and keep a cohesive feel.


8. Let There Be Light

While natural light photographs beautifully, there often isn’t enough natural light inside an office space to rely on solely for your photo shoot. We’ll often use a combination of natural and existing light in your space, along with professional lighting that I bring, to create bright, polished images that keep a consistent look throughout your gallery. Before the shoot:

  • Open all blinds and shades (closed windows make a space feel smaller)
  • Replace burned-out light bulbs.
  • Turn on matching overhead lights when needed.

Good lighting creates bright, welcoming images.


9. Plan Around Your Busiest Areas

If your office stays busy, think about scheduling certain spaces at quieter times. Conference rooms, reception areas, and collaborative spaces are often easiest to photograph when they’re temporarily available. A little planning means less disruption to your workday.


10. Trust the Process

Professional lighting, thoughtful composition, a little styling, and careful attention to backgrounds can transform an ordinary office into beautiful, polished marketing images. My job isn’t just to only take photos, it’s to find the best light, the best angles, and create images that represent your business at its best. Just be prepared for me to move some furniture around and possibly redecorate your entire space!
